This policy explains what information the Women’s Soccer Club, Inc. (“WSC”, “we”, “us”) collects through womenssoccerclub.com, how we use it, who we share it with, and the choices you have. WSC is a nonprofit club based in Wisconsin that runs adult women’s soccer leagues. If you have questions, see “How to contact us” at the end.
The short version
- We collect what we need to run the leagues: your account details, team and game information, payments, and RSVPs.
- We do not sell your information, and we do not use it for advertising.
- Teammates, captains and league staff can see some of your information, such as your name on a roster and your RSVP for a game.
- We use a small number of service providers (listed below) to host the site, send email, take payments and understand how the site is used.
- You can unsubscribe from club news at any time, and you can ask us to correct or delete your information.
Information we collect
Information you give us when you register or update your account: your name, email address, phone number, date of birth, a profile photo if you add one, and the answers you give on the registration form, such as race or ethnicity, number of children, education, occupation, employer, soccer experience, volunteer interests, the team you are requesting and how you heard about us. Some of these questions are optional. We use your date of birth to place you in the right age group and to identify players under 18.
League and team information: the teams you play on, your roster status, schedules, scores, your RSVP for each game and any note you leave for your captain, and referee assignments and game reports if you referee.
Payments: when you pay a registration fee, team fee or event ticket, the payment is handled by PayPal or Stripe. We receive a record that you paid (amount, date and a transaction number). We do not receive or store your card or bank account number.
Forms you submit: for example contact messages, bug reports, event registrations, referee applications, waivers, and incident or complaint reports.
Information collected automatically: when you use the site we record basic technical and usage information, such as your IP address, browser and device type, the pages you visit, how long you stay, links you click, and how you answered an RSVP (for example from a reminder email or from the game page). We use cookies for this and to keep you signed in (see “Cookies” below).
Email activity: club newsletters and announcements record whether an email was opened and which links were clicked, so we can tell what is useful and stop sending to addresses that no longer work.
How we use information
- To run the leagues: place you on teams, build schedules and rosters, record scores, and manage fees and payments.
- To send you the emails that come with playing: game reminders and RSVP requests, game-day notices, fee reminders, and referee assignments. These are part of being a member and are not marketing.
- To send club news and event announcements, if you are a member or have signed up. You can unsubscribe from these at any time.
- To keep the site secure, prevent spam and abuse, and fix problems.
- To understand how the site is used and improve it.
- To keep the records a club needs, such as waivers and incident reports, and to meet legal obligations.
Who can see your information
- Teammates and your captain: your name on your team’s roster and your RSVP for each game. Notes you leave for your captain are visible only to your captains, league staff and you.
- The team you are playing: players on both teams in a game can see both rosters and each player’s RSVP for that game. Notes you leave for your captain are not shown to the other team.
- Referees and league staff: rosters and RSVPs for the games they manage.
- The public: team names, schedules, scores and standings. We do not publish your contact details.
Service providers we share information with
We share information only with providers that help us run the club, and only for that purpose:
- Awen, LLC, which builds and operates the website and its email and analytics systems, hosts the site, and holds our mailing list.
- DreamHost (web hosting) and Cloudflare (security and performance).
- Google: Google Workspace (club email), Google Analytics (site usage) and Google reCAPTCHA (spam protection on some forms).
- PayPal and Stripe (payments).
- Auctria, for event ticketing when an event uses it.
This site is protected by reCAPTCHA, and the Google Privacy Policy and Terms of Service apply. Google Analytics is described at How Google uses information from sites that use its services.
We may also share information if the law requires it, to protect someone’s safety, or with our insurer or legal advisers in connection with an incident or claim. We do not sell, rent or trade your personal information.
Incident reports, complaint reports and minor waivers stay on the club’s website and are not copied into Awen’s other systems.
Cookies
Cookies are small files your browser stores. We use them to keep you signed in, remember items in your payment cart, protect forms from spam, and measure how the site is used. One of our measurement cookies identifies your browser (not you by name) for up to about 13 months. You can block or delete cookies in your browser settings; if you block them, signing in and paying online may not work.
Email choices
- Every club newsletter or announcement has an unsubscribe link. Unsubscribing stops club news but not the emails you need to play, such as game reminders and fee notices.
- To stop game reminders, leave your team or contact us.
- Our mailing address is 606 E Juneau Ave, Unit #511176, Milwaukee, WI 53202.
Players under 18
Players aged 16 and 17 may join with a parent or guardian’s consent through our Minor Player Waiver. We keep their information on the club’s website only: it is not added to the club newsletter list or shared with Awen’s other systems. The site is not intended for children under 13, and we do not knowingly collect information from them. If you believe a child under 13 has given us information, contact us and we will delete it.
How long we keep information
We keep account, team and payment records while you are a member and for as long as needed afterward for club records, tax and accounting, and to resolve disputes. Waivers and incident reports are kept as long as our insurance and legal advisers recommend. When we no longer need records containing personal information, we dispose of them securely, as Wisconsin law requires (Wis. Stat. § 134.97).
Your choices and requests
- You can update most of your details yourself under My Account.
- You can ask us for a copy of the information we hold about you, to correct it, or to delete your account. We may keep records we are required to keep, such as payment records and waivers.
- We will respond within 30 days.
Security
We use reasonable measures to protect your information, including encrypted connections, limited staff access and regular security monitoring. No system is perfectly secure. If a breach exposes certain personal information, we will notify affected people as Wisconsin law requires (Wis. Stat. § 134.98).
Changes to this policy
If we make important changes, we will update the date at the top of this page and, where appropriate, tell members by email.
